Bid Coordinator – Steel Fabrication & Construction

Pioneer Welding and Fabrication, a leading steel fabrication and construction subcontractor in Apopka, FL, is seeking an experienced and detail-oriented Bid Coordinator to join our growing team. This role is critical in managing the bidding process for structural steel projects, ensuring accuracy, timeliness, and strategic alignment to support company growth and project acquisition.
Position Overview:
As Bid Coordinator, you will oversee the end-to-end bid process—from initial review through submission—while collaborating across multiple departments and external partners. You will maintain detailed bid tracking and documentation, drive communication with vendors and subcontractors, and support business development initiatives across Florida and neighboring states. Key Responsibilities:
Enter all bids into the centralized tracking system on the same day they are reviewed, regardless of bidding intent, to maintain comprehensive records of opportunities reviewed.
Issue Requests for Quotations (RFQs) to J&D, installation subcontractors, fabrication subcontractors, and other vendors on the same day Invitations to Bid (ITBs) are received for projects targeted to bid.
Conduct frequent development calls with new and existing vendors across the multi-state bidding footprint including Florida, Georgia, Alabama, and South Carolina.
Maintain an accurate, prioritized listing of all General Contractors (GCs) within our operational ecosystem, including up-to-date contract values per GC to support strategic decision-making.
Collaborate daily with the Scapes Bid Coordinator to synchronize tracking systems and ensure all known bids and intersecting projects between firms are recorded consistently.
Serve as the primary contact for all inbound client inquiries related to bids, coordinating communication between estimation, execution teams, and external stakeholders to streamline processes.
Qualifications:
Proven experience in bid coordination, estimating, or proposal management in steel fabrication, structural steel construction, or related heavy industry is preferred but not required.
We are open to candidates new to the steel industry; an ability to learn quickly and adapt is essential.
Expertise with bid tracking systems and project management tools; strong proficiency in Microsoft Office (Excel, Word, Outlook).
Exceptional organizational skills with a high degree of attention to detail and ability to manage competing priorities under tight deadlines.
Strong communication skills, capable of fostering collaboration across internal teams and external partners.
Knowledge of steel fabrication industry standards, contract compliance, and project documentation requirements is beneficial but not mandatory.
Compensation:
