Job Description

Serpentine Jewels Executive Assistant/Townhouse Operations Manager

Location: Greenwich, CT and NYC

Position Overview:

In this role, you will play a crucial role in ensuring the smooth and efficient operation of the administrative functions of the Serpentine Jewels organization. This position requires a detail-oriented individual with strong organizational and interpersonal skills, as well as a deep understanding of luxury retail standards. This position requires flexibility between our two locations - Greenwich, CT, and Midtown Manhattan.

Responsibilities:

Oversee day-to-day administrative tasks, including shipping, record-keeping, data entry, and correspondence. These responsibilities include:

  • Efficient Calendar Management: Take ownership of the CEO's complex calendar, scheduling appointments, meetings, and travel arrangements while accommodating last-minute changes and prioritizing critical engagements. Communicate with clients in a professional manner when scheduling meetings.
  • Impeccable Organization: Maintain meticulous records, files, and documents, ensuring that the CEO's office operates in a well-organized and systematic manner. Must be OBSESSED with details.
  • Data Entry: Responsible for keeping our data management system up-to-date with all relevant information and meeting notes
  • Travel Arrangements: Coordinate travel arrangements, including flights, accommodations, and itineraries, considering the CEO's preferences and maximizing productivity during travel.
  • Personal Support: Provide personal assistance to the CEO as required, ensuring a seamless work-life balance. 
  • Sales Support : Assist in the planning and execution of store events and promotions, including in-person client appointment support and on-going sales support, including entering details from client interactions in our CRM.
  • Manage office supplies and inventory to ensure seamless operations.
  • Ad hoc projects as asked by management, including potential social media projects, website projects, and marketing projects.
  • Handle sensitive information with the utmost confidentiality and discretion.
  • Work with CEO to document/photograph and post spontaneous content on social media

Qualifications:

  • Proven experience in office management/administrative support
  • Strong organizational and multitasking abilities.
  • Excellent written and verbal communication skills.
  • Proficient in technology, including Slack and Google Suite
  • Understanding of luxury retail standards and commitment to exceptional customer service.

Workdays in Greenwich start at 9:00am; workdays in New York City start at 9:30am.
